Position Descriptions

AAIR Executive Committee

Holding a position on the AAIR Executive Committee is a fantastic professional development opportunity to increase your knowledge of the sector and gain an in-depth understanding of higher education issues at the international and domestic levels.

This is a great opportunity for you to advance your own professional development and become more involved in your Association.

All positions are filled on a voluntary basis and all Executive Committee members report to the Executive Committee and the General Assembly. Positions are usually for a fixed term of two years.

President

Key Responsibilities

The key responsibilities of this role include:

  • leading the Association and, in conjunction with the Committee, setting the overall direction for AAIR;
  • chairing meetings of the Association and Executive and ensuring the efficient operation of all sub-committees;
  • calling special meetings of the Association and Executive;
  • assisting Officers of the Association, mentoring and evaluating their work as necessary;
  • appointing sub-committee chairs, ensuring sub-committees report regularly on activities, and serving as an ex‐officio member of all sub-committees;
  • appointing portfolio leaders (in consultation with Committee members), ensuring portfolio leaders report regularly on activities, and serving as an ex‐officio member of all portfolios;
  • representing the Association with relevant government bodies and other professional associations and organisations;
  • maintaining contact with international and national organisations and facilitating the development of alliances with relevant external organisations;
  • acting as authorised spokesperson to make public statements to the media and in other fora on behalf of AAIR; and
  • supervising and managing work undertaken by contract staff and/or employees.

Vice-President

Key Responsibilities

The key responsibilities of this role include:

  • assuming the duties of the President in their absence;
  • serving as a member of the Local Organising Committees for the AAIR Annual Forum and AAIR SIG Forum, assisting the chairs where needed, and liaising with the Executive Committee on behalf of Local Organising Committees;
  • leading a portfolio;
  • maintaining the Code of Ethics;
  • promoting and marketing the Association; and
  • performing other duties as directed by the President.

Position Description – Vice-President

Secretary

Key Responsibilities

The key responsibilities of this role include:

  • coordinating the preparation of agendas and minutes for general meetings (annual and special/extraordinary) and Executive Committee meetings, and reminding those responsible that follow-up action is required as necessary;
  • handling and coordinating all official correspondence;
  • ensuring all records, documents and securities of the Association are maintained in accordance with the Rules clause 31;
  • overseeing the membership and mailing lists portfolio to ensure correct maintaining of records for all membership types, including general membership, honorary, life, retired members, etc. in the Register of Members;
  • facilitating constitutional and rules/bylaws updating and revisions;
  • obtaining any legal advice as required;
  • overseeing the completion of the Association’s Annual Report, and ensuring that it is completed in time for submission to the Annual General Meeting;
  • preparing the annual return to Consumer Affairs Victoria;
  • facilitating the nominations of officers and ensuring that nominations comply with the Association rules;
  • acts as the Returning Officer, overseeing the conduct of elections and advising the Executive on the procedures and format for elections; and
  • acting as the Secretary in compliance of the Associations Incorporation Reform Act 2012.

Treasurer

Key Responsibilities

The key responsibilities of this role include:

  • managing the receipt of monies for various activities and received from members;
  • ensuring that proper accounts are maintained to reflect the true financial position of the AAIR;
  • managing payments made on behalf of the Association through PayPal and MYOB, and in particular, ensuring that the required signatures for all payments are in place, and maintaining appropriate records;
  • arranging for the annual audit of accounts;
  • maintaining the bank accounts and liaising with the nominated bank on behalf of the Association;
  • preparing the Association’s Annual Financial Report, including the auditor’s report for the previous financial year and presenting at the Annual General Meeting;
  • in consultation with the President, drafting the annual budget for consideration of the Committee each June;
  • monitoring performance against the approved budget;
  • providing the Committee with financial status reports each quarter; and
  • obtaining any legal advice as required.

Committee Member

Key Responsibilities

The key responsibilities of this role include:

  • participating in the control and proper management of the business and affairs of the Association;
  • serving on and/or chair sub-committees from time to time;
  • leading a portfolio;
  • promoting the organisation in appropriate fora;
  • as required, communicating with members and raising any issues with the President and the Committee; and
  • acting on behalf of and at the direction of the Office Bearers and Committee in the interest of the organisation.
